Who we are

What we collect

What you type into the enquiry form: your name, email address, and optionally your telephone number, the project location, an indicative budget, the project type, and your message. We also record the date and time the enquiry arrived.

When you submit the form we also process your IP address. It is used to limit how many submissions can be sent from one connection, which is what stops the form being used to send unsolicited mail, and it appears in our server logs. We do not use it to identify or track you.

This website sets no cookies, runs no analytics and no advertising trackers. It does store two small values in your browser: one remembers that you have already seen the opening animation, and the estimator remembers the figures you last entered. Both stay on your device, are never sent to us, and disappear when you clear your browser data. Web fonts are served by Google Fonts, which receives your IP address in order to deliver the font files.

Why we hold it, and on what basis

We use your details for one purpose: to answer your enquiry and, if it leads somewhere, to quote and deliver the work. The lawful basis is taking steps at your request prior to entering into a contract, and our legitimate interest in responding to business enquiries.

We do not send marketing from this form, and we do not sell or share your details with third parties.

Where it goes

Your enquiry is emailed to our own mailbox, and a short automatic acknowledgement is sent back to the email address given on the form. Nothing else is done with it.

Four processors are involved. Cloudflare hosts this website and handles every request to it. IONOS hosts our mailbox and receives the enquiry itself. Resend delivers the acknowledgement. Google Fonts serves the typefaces. Each may process data outside the UK under the safeguards their terms provide.

If the email address you give us is not your own, the acknowledgement will reach whoever holds it. If you receive one you did not ask for, tell us at the address below and we will look into it.

How long we keep it

Enquiries that do not become projects are reviewed and deleted from our mailbox at least once a year, and in any case within 24 months. This is done by hand; there is no automatic deletion. Where the enquiry becomes a contract, we keep the records for as long as our contractual, insurance and statutory obligations require.

Server logs, which contain IP addresses, are retained by Cloudflare under their own retention schedule and are not kept by us separately.

Your rights

You can ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it. Email contact@northsteadltd.com and we will respond within one month.

If you are not satisfied with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
